Cloud PBX for schools and training providers

Voxbi is a business phone system that runs in a browser tab, so a school or training provider gets department routing, an academic-calendar schedule, and enrolment-peak queues without a server or an engineer visit. Build your call flow yourself, add seasonal staff when you need them, and keep caller data in the EU.

  • Self-serve setup, no IT project
  • Scales with enrolment peaks
  • EU-hosted by default

Is Voxbi a fit for your institution?

A ten-second check before you read on.

Good fit if you

  • See seasonal call spikes during enrolment, results, or exam periods
  • Need department routing without a manual switchboard operator
  • Want out-of-hours handling that follows the academic calendar
  • Have teachers and staff who need direct numbers for parents

Worth a conversation first if you

  • Are a very small training provider with only a handful of staff
  • Use a school management system that already handles parent comms
  • Run walk-in enrolment only from a single training room
  • Have phone procurement handled by a group HQ abroad

Why a school's phone setup struggles at peak

Busy tone during the enrolment rush

Enrolment, results days, and the start of term can drive calls three or four times the daily average. A single shared line gives prospective families a busy tone, with no queue to hold them.

Reception transfers every call by hand

With no menu, every parent call lands at reception and is transferred on by hand. Admissions, finance, and the head's office all start in the same queue.

Calls ring unattended over the holidays

When term ends, calls keep ringing at empty desks. There is no automatic closure message, no holiday routing, and no record of what was missed.

What changes on day one

Frequently asked questions

Can we use different routing rules during term time, holidays, and exam periods?

Yes. Time-based routing lets you define multiple schedules, such as term time, holidays, exam period, and summer programme, and the system switches between them automatically. Each schedule can have its own IVR menu, opening hours, and voicemail message. You change the academic calendar from the dashboard, with no engineer involved.

How does an IVR work for an international school with multiple languages?

A multilingual IVR can present a language choice first, for example English, French, or German, then route to language-specific sub-menus and staff. Callers reach team members who speak their language without being transferred repeatedly. You record and update the menus from the web dashboard yourself.

Can we scale up for the enrolment peak and back down for summer?

Yes. Voxbi is billed per user, so you can add seasonal admissions staff for the enrolment rush and remove them for the summer. There is no hardware to change and no separate server to buy.

Is caller data stored in the EU?

Yes. Voxbi is EU-hosted by default, so call data and recordings stay in EU data centres. You can document recording retention, caller consent, and access controls in your institution's GDPR register and privacy policy.

Can teachers have their own direct numbers visible to parents?

Yes. Each teacher, department head, or staff member can have a direct number that parents call without going through reception. Numbers can appear on the school website, email signatures, and printed materials, and when someone leaves their number can be reassigned to a colleague from the dashboard.
