A phone system for hotels and restaurants

Voxbi is a business phone system that runs in a browser tab, so a hotel can connect reception, rooms, restaurant, and back office on one platform without an on-site switchboard. Keep your existing SIP room phones, greet guests in their own language, and let the manager change extensions from a dashboard, with your data in the EU.

  • Keep your SIP room phones
  • Multilingual menus for guests
  • EU-hosted by default

Is Voxbi a fit for your hotel?

A ten-second check before you read on.

Good fit if you

  • Serve international guests who expect a menu in their own language
  • Run an ageing on-premise PBX that is costly or no longer supported
  • Need fast, reliable transfers between reception, restaurant, and housekeeping
  • Have existing SIP room phones and desk phones you want to keep

Worth a conversation first if you

  • Use a PMS that needs a specific certified PBX integration
  • Have old analogue room handsets that are not SIP-compatible
  • Are part of a group with a mandated telephony contract
  • Run a guesthouse of five rooms or fewer, where a single line is enough

Why hotel phone systems get in the way

The menu only speaks one language

An auto attendant in a single language leaves non-native guests confused before they reach anyone, on the first call they make to the hotel.

Transfers between departments drop calls

Moving a guest from reception to the restaurant or housekeeping fails several times a day, and the caller has to start over.

Every change needs an engineer

Reassigning a room extension or changing routing means an on-site visit and an invoice, on hardware the vendor may no longer support.

What changes on day one

Same room phones, no switchboard on site.

  • Auto attendant that plays in one language only A menu that greets guests in FR, EN, and DE and routes by language
  • Internal transfers that drop calls between departments Reliable warm or blind transfers across reception, restaurant, and housekeeping
  • An engineer visit for any extension change The manager updates room extensions and routing from the dashboard
  • No view of call volumes or front desk response Analytics by department, hour, and missed calls at reception

  • 4.5/5 average support rating
  • EU hosted, with local support

Frequently asked questions

Can we record the menu in French, English, German, and Luxembourgish?

Yes. The menu can present a language choice first, then route to the right department and a team that speaks that language. Audio files are uploaded and replaced from the dashboard, so you can change a greeting yourself without an engineer.

Will our existing SIP room phones work with Voxbi?

Almost certainly, if the handsets are from the past decade. Onboarding starts with an inventory of your existing phones to confirm SIP compatibility and firmware. Non-SIP analogue phones need an adapter or a replacement.

Can guests call reception or housekeeping directly from their room?

Yes. Each room is an internal extension, and room phones can be set with short shortcuts, for example one digit for reception and another for housekeeping. The call routes internally without going through an outside line.

Can we set hold music and announcements per department?

Yes. Hold music and announcements can be set for the whole hotel or per department, so reception, restaurant, and events can each have their own. Time-based announcements, such as restaurant hours, can be scheduled and updated from the dashboard.

Can we set Voxbi up ourselves, without an IT project?

Yes. Voxbi is self-serve: you map your departments, languages, and rooms, and build your call flow from the dashboard. Support is available if you want a hand, and no on-site switchboard is required.
