Voxbi is a cloud phone system for banks, fund managers, advisors, and insurers. It records client-facing lines with role-based access, routes calls across cross-border offices on one platform, and keeps every recording in the EU, with no hardware on site.

Is Voxbi a fit for your firm?

A ten-second check before you read on.

Good fit if you

  • Need recorded, traceable client calls for record-keeping and dispute resolution
  • Operate across more than one country or office
  • Have relationship managers who travel or work remotely
  • Want call data and recordings to stay under EU data-protection law

Worth a conversation first if you

  • Are tied into a long PBX contract with significant exit costs
  • Are a single-person family office where one number is enough

Why client calls go untraced on an old phone system

No record when a client dispute lands

When a client questions an instruction or a quote, there is no audio to refer back to. Compliance has flagged the recording gap, but the legacy system was never built to record, retain, or retrieve calls by client or advisor.

Relationship managers forward to personal mobiles

Advisors working from home or on the road redirect their line to a personal number. Clients save that mobile instead of the business line, those calls go unrecorded, and the firm loses control of the client relationship.

Each office runs its own phone island

Luxembourg, Brussels, and Frankfurt each run a separate system. A client calling one office cannot be transferred to a colleague in another without being asked to dial a different number, and IT has no single view of any of it.

What changes on day one

Same numbers ported, no hardware on site.

  • A client dispute with no call to refer back to Recorded client lines, retrievable by date, caller, or advisor
  • Relationship managers forwarding to personal mobiles The business number rings desk and mobile, recording intact
  • A separate phone system in every office One platform across your offices, free internal calls between sites
  • IT visiting a server room to add an extension Users, extensions, and call flows managed from a web dashboard
Made in Luxembourg

Your client call data never leaves the EU

Voxbi is built and hosted by a Luxembourg telecom operator, so every recording and call record stays under EU data-protection law, not a US provider's terms. Data residency is a contractual commitment, not a tenant setting you have to get right.

Frequently asked questions

Are client calls recorded and kept in the EU?

Yes. Voxbi records client-facing lines and stores both call data and recordings in EU data centres by default. Retention periods, access controls, and your recording policy are configured to match your firm's record-keeping obligations and GDPR register.

Can we record only client and dealing lines, not every extension?

Yes. Recording is set per extension or per department rather than firm-wide. A typical setup records relationship-manager and dealing lines while excluding reception, HR, and IT. That keeps storage proportionate and respects GDPR. Scope is managed from the admin dashboard.

How are recordings retrieved for an audit or a dispute?

Recordings are retrievable by date, caller, or extension, and access is role-restricted with full audit logging. The compliance team gets dedicated access to the archive without being able to change call flows or user settings.

Can you connect our offices in different countries on one system?

Yes. Each office keeps a local number (for example LU, BE, and DE) and all of them route into the same platform. Calls between your offices are free over four-digit extensions, and every site is managed from a single dashboard.

How do relationship managers take recorded client calls when they travel?

The mobile app rings their business number on the desk phone and on their smartphone, so clients only ever see the business line. Calls placed and received in the app follow the same recording rules as the desk, so nothing falls outside the record.
