Cloud PBX for clinics and care homes

Voxbi is a cloud phone system for medical practices, clinics, pharmacies, and care homes. It absorbs the Monday-morning call peak with queues, routes after-hours calls to the on-call doctor, supports ESPA-X for nurse-call and alarm systems, and keeps every recording GDPR-compliant in the EU, with no hardware on site.

  • GDPR recording, hosted in the EU
  • Multilingual IVR
  • ESPA-X nurse-call integration

Is Voxbi a fit for your practice?

A ten-second check before you read on.

Good fit if you

  • Get high call volumes in specific windows, like the Monday-morning rush
  • Want patients to hear their queue position instead of an engaged tone
  • Need reliable out-of-hours routing to an on-call doctor
  • Require GDPR-compliant recording for referrals and consultations

Worth a conversation first if you

  • Run a single-practitioner practice with very low call volumes
  • Have data-residency requirements beyond standard EU hosting
  • Work from a building with unstable internet
  • Run a hospital-scale setup that needs a dedicated telephony tender

Why patient calls slip through on an old phone system

The Monday-morning rush hits an engaged tone

When both lines are busy, callers get an engaged tone with no idea when to try again. The frustration lands on reception, and some patients simply give up and call a different practice.

On-call runs on a shared personal mobile

Out-of-hours calls go to a personal number that rotates between doctors. There is no clear handover, no record of who called, and no easy way to change the rotation.

Calls ring desks no one is sitting at

During consultations and procedures, phones ring at empty desks. Without presence or a transfer option, callers wait, then reach voicemail or nobody at all.

What changes on day one

Same main number, no hardware on site.

  • An engaged tone during the Monday-morning rush A queue with position and wait-time announcements
  • A shared personal mobile for the on-call rotation Time-based routing to the duty doctor, managed in the dashboard
  • Calls ringing at unattended desks during consults Presence routing skips whoever is unavailable
  • After-hours messages lost on a personal phone Voicemail to email in the practice manager's inbox each morning

Your patient data never leaves the EU

Voxbi is built and hosted by a Luxembourg telecom operator, so every call and recording stays under EU data-protection law, not a US provider's terms.

Frequently asked questions

Is patient call data stored in the EU for GDPR compliance?

Yes. Voxbi stores call data and recordings in EU data centres by default. Retention periods, patient consent, and access controls fit your practice's GDPR register and privacy notice.

How does call recording handle patient consent?

Patients are informed before recording starts, usually with a short announcement at the start of the call ("this call may be recorded for medical records and quality purposes"). Recordings are retrievable by date, caller, or extension, and access is role-restricted.

Can the IVR handle French, German, Luxembourgish, and English?

Yes. A language choice at the main menu routes each caller to language-appropriate options. You record and update the menu audio from the dashboard, with no engineer involved.

What happens to calls outside practice opening hours?

Time-based routing switches automatically at a time you set: a professional closed-hours message, routing to the on-call doctor's mobile app, an external referral service, or voicemail to email. The rotation follows a weekly or monthly schedule you manage in the dashboard.

Can we connect several practice locations on one system?

Yes. Multi-site extensions put every location on one internal dial plan with free calls between sites. Each site keeps its own IVR menu, opening hours, and direct numbers, all managed from a single dashboard.
