Is Voxbi a fit for your agency?

A ten-second check before you read on.

Good fit if you

  • Have staff working from home, client sites, or events rather than fixed desks
  • Need to record client briefings and approvals for project reference
  • Already use Microsoft Teams for internal communication
  • Want one business number that follows each account manager everywhere

Worth a conversation first if you

  • Are a very small agency of two or three people with low call volumes
  • Use a project tool that already handles all client communication
  • Rely almost entirely on email and messaging for client contact
  • Have a single fixed office and no remote or hybrid working

Why agency teams outgrow a traditional phone setup

Clients only have personal mobiles

When staff work from home, client sites, or shoots, clients reach personal mobiles instead of the business. When an account manager leaves, that number, and the client relationship, goes with them.

Briefings live in handwritten notes

Client briefings and approvals are captured by hand, if at all. When scope is disputed weeks later, there is no record of what was agreed on the call.

Calls ring at empty desks

There is no presence awareness, so inbound calls ring desks during shoots and off-site meetings, and the main number goes unanswered when reception is out.

What changes on day one

Same numbers, no hardware on site.

  • Staff handing out personal mobiles to clients One business number that rings on laptop and phone at once
  • Briefings lost to handwritten notes Calls recorded and retrievable by date and client
  • Calls ringing at empty desks during shoots Presence-aware routing that skips unavailable staff

Frequently asked questions

Can we keep our existing agency phone number?

Yes. Voxbi supports number porting from Luxembourg and international operators, and your existing number keeps working until the switch completes. You keep your business numbers and can move staff between them yourself.

Can we set Voxbi up ourselves, without an IT project?

Yes. Voxbi is self-serve and softphone-first: staff use it in a browser or the desktop and mobile apps, and you build your call flow from the dashboard. No desk hardware is required, and support is available if you want a hand.

Does the app work when staff are abroad on shoots?

Yes. The mobile and desktop apps work over any internet connection, on hotel Wi-Fi or mobile data. Outbound calls use the agency business number regardless of where the staff member is.

Are call recordings stored in the EU?

Yes. Recordings are stored with EU data residency. Under GDPR, both parties must be informed before recording starts, so set a pre-call announcement and document your retention period in your privacy policy.

What happens when an account manager leaves the agency?

Reassign their number to a colleague in minutes from the dashboard. The number belongs to the agency, not the individual, so the client relationship continues uninterrupted.
